Conference Delegate

Thank you for booking to attend this year’s Joint District Conference, which for the first time in Rotary GB&I includes two Rotary Districts working together.  In the spirit of this initiative, we both hope you will enjoy mixing with friends old and new throughout the weekend.

The Conference team has prepared this Advance Information Pack, which we hope you will find useful and that answers most of your questions. Together with our Team we have put together a programme of inspiring speakers which will hopefully spark your Imagination. As well as a packed programme on stage we also have a Showcase area where you can pick up information on projects and services that you can take back to your clubs.

Hotel Information

Crowne Plaza Stratford-upon-Avon

The full address of the hotel is the Crowne Plaza Hotel, Bridgefoot, Stratford upon Avon, Warwickshire, CV37 6YR.

There is complimentary car parking at the hotel for all Conference delegates, but as the car park is monitored by Parking Eye, you MUST ENTER YOUR REGISTRATION DETAILS AT RECEPTION ON ARRIVAL to avoid fixed penalties.

Check into bedrooms will commence at 3pm and check out on Sunday morning will be by 11am.  Breakfast will be served in the Riverside Restaurant from 7am.

The hotel offers complimentary WiFi and use of the hotel’s leisure facilities, which includes an indoor heated swimming pool and fitness centre.

The Conference will take place in the Grand Ballroom, with the Rotary Showcase being held in the Seymour Room and in the Atrium.  A plan of the hotel is included in the Conference Programme.

Conference Lunch & Dietary Requirements

Lunch will be served in the Riverside Restaurant and in The East Wing, Packwood and Warwick Rooms. 

If you have specified any Special Dietary Requirements the Hotel may be in touch to confirm your requirements.

Registration

The Conference Registration Desk will be in the hotel reception area, and will be open from 3 – 6pm on Friday, and 8 – 9.30am on the Saturday morning.  You must Register here to collect your delegate badge, which must be worn to enable admission to Conference sessions, Saturday lunch and the Gala dinner.

Rotary Conference Stewards Badge

If you need assistance at any point during the Conference weekend, please do speak to a Steward.  Stewards can be identified by their large yellow badges.

If you have volunteered to be a Steward at Conference, we thank you and we will be in touch with you to give further information about your role.

Dress Code

Conference sessions – There is no specific dress code, please feel free to come in your club shirts or in smart casual.
Gala Dinner – Black tie, or if you would prefer, lounge suit or jacket & trousers, Regalia may be worn if you wish.
You will be able to order your wine for the Gala Dinner during the course of the day.

DON’T FORGET

Over the Conference weekend we will be collecting the following items, you will find collection boxes in the Showcase area, so please do bring along:

  • Old spectacles
  • Foreign currency
  • Postage stamps
  • Ring pulls
